Data Change Utility
Global Data Management Utility for the System Administrator
The Data Change Utility (DCU) is a powerful data cleansing tool that provides the ability to change or correct primary data such as Drawing Number, Drawing Type, Drawing CAGE, etc., that cannot be edited using the standard CMstat application. Whether fixing erroneous entries, standardizing new project data or cleaning up parts of your database, the DCU provides a safe and easy method to address records individually or on a global basis.
To ensure security, only those users with the proper CMstat Database Administrator (DBA) privileges (those able to access the CMsetup Module) are granted access to the DCU database management tool.
The DCU provides the user the ability to globally change data for the entire database. Therefore, it is HIGHLY recommended that a current backup be done before using the Data Change Utility. Once updates or deletions are made, there is no capability for data retrieval of the original data without the current backup.
The following is a brief description of the editing capabilities by object:
Documents
DCU allows changes to the following attributes of a Document object:
- Document Number
- Document Type
- Document CAGE
Updates may be made to single records or on a global basis. A results screen allows the user to further define which records will be affected by the change by merely clicking on the document.
Items
DCU allows changes to the following attributes of a Item/Part object:
- Item/Part Number
- Item/Part Type
- Item/Part CAGE

Change Orders
The CMstat application uses the incorporation date in change orders to lock a record. Once change orders have been incorporated, those change orders used in the roll revision process may not be edited. However, the DCU will allow the DBA to remove the incorporation date or the delete the change order. The DCU will also allow the deletion of the Drawing Record associated to the specific change orders, if required. The process requires the DBA to begin at the highest revision of a record and work backwards to the revision in question. The strict rules base in this area of the DCU is designed to allow flexibility while maintaining data quality and the integrity of the database.
CM Inuse
The CMstat application records what object (record) is being edited, when and by whom. If another user brings up the same record and tries to put the record into the edit mode, the application gives a message that the record is being edited and does not allow editing by the second user. Under certain conditions a record may be locked in the edit mode: such as the program being unexpectedly shut down (e.g. power outage,) or it might be found that the user who has the record locked is on vacation or no longer employed. configuration management Inuse provides the DBA visibility into this table and the ability to remove the entry or entries if desired.
Log
The DCU is a powerful tool that allows global database management and changes, therefore a built-in log records all changes processed through the DCU. The log is intended to give the DBA an audit trail of changes to the database for troubleshooting purposes. The log is a permanent record of transactions which may be used a basis for reporting, if desired.
Suppliers
Mergers and acquisitions create confusion with regard to the proper assignment of CAGE codes. DCU gives the DBA a global means to change or replace a CAGE code throughout the entire database. If the user decides that a CAGE is incorrect, or there has been a change to the CAGE itself, the user may select this option which will change ALL references from the original CAGE to the new CAGE code.
